Privacy notice
This explains what personal information the Association holds, why, and what you can ask us to do with it.
Who we are
The Folkestone School Old Girls' Association is a not-for-profit membership organisation for former pupils and staff of the Folkestone School for Girls and the schools that came before it. We are responsible for the personal information described here.
To ask anything about your data, contact our Membership Secretary, Mrs Gillian Gates, by emailing folkestoneschoololdgirls@gmail.com.
What we collect
- When you apply to join: your name and name at school, address, phone number, email address, the school you attended and your dates there, the membership you chose and any donation.
- When you book an event: your name and name at school, contact details, the number of places, your guests’ names and any food intolerances you tell us about.
- When you email us or write to us: whatever you choose to include.
Food intolerances are information about health. We only ask so the venue can cater for you, and you don’t have to tell us.
Why we use it
Personal information will only be used or disclosed for the primary purposes for which it was collected, namely:
- Processing requests for information,
- Distribution of newsletters and other communications,
- Receiving communications to which you are entitled as a Member,
- Arranging the events you book, including giving your name to the venue so you can be welcomed at the door.
The legal bases on which your personal data will be used are the legitimate interests of the Association as a not-for-profit membership organisation, and the fulfilment of contractual obligations owed to you by the Association as described in the constitution.
We never sell your information or use it for advertising.
How the website handles it
- Forms on this website are sent straight to the Association by email. The website itself does not keep a copy.
- If an email can’t be delivered, the website holds that one message securely for up to 30 days so it isn’t lost, then deletes it automatically.
- To stop automated spam, the website keeps a scrambled (hashed) version of your internet address for up to two hours. It can’t be turned back into your address.
- Like all web servers, ours keeps a standard log of visits (internet address, page requested, browser type) for 14 days to keep the site secure and working, then deletes it.
The website is hosted and looked after by Lee James Apps, and emails are delivered through Zoho Mail. They act only on our instructions and may not use your information for anything else.
To stop spam, the Join and booking forms use Cloudflare Turnstile, which checks that a person rather than a robot is filling them in. Cloudflare sees technical details about your browser and connection for this check, but not what you type into the form, and it does not set cookies.
How long we keep it
We keep members’ details while you are a member, and event bookings for as long as we need them to run the event and keep our accounts. We remove information when it is no longer needed for these purposes.
Your rights
You can ask us to:
- show you the information we hold about you,
- correct anything that’s wrong,
- delete your information, or stop using it,
- stop sending you newsletters or emails.
Just write to the Membership Secretary or email us at the addresses above. If you’re unhappy with how we’ve handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113 — but please talk to us first so we can try to put it right.

This site links to our Facebook group and other websites. They have their own privacy policies, which we don’t control.
